MedXpert Services provides medical billing services in Rochester, NY for independent practices and specialty groups across Monroe County and the Finger Lakes. We handle eligibility checks, coding, claim submission, denial management, payment posting and A/R follow-up for Excellus BCBS, MVP Health Care, Medicare and NY Medicaid claims.
Start with a free billing audit of your claims and A/R to find the denials and unpaid balances you can still recover.

Rochester healthcare providers can face billing delays, claim errors, and administrative demands that affect cash flow and staff productivity. Effective Rochester medical billing requires accurate coding, timely claims, consistent payer follow-up, and close A/R monitoring. Common challenges include:
Incorrect information, coding issues, missing documentation, or payer requirements can delay reimbursement.
Inaccurate eligibility checks or missing prior authorization can result in avoidable claim problems.
CPT, HCPCS, ICD-10-CM, and modifier errors can affect claim accuracy and payment.
Billing, payment posting, appeals, and payer communication can place additional demands on practice staff.
Unresolved balances and delayed payer follow-up can keep earned revenue outstanding.
Gaps between charge capture, claim submission, payment posting, and A/R follow-up can slow the overall billing process.
Rochester practices bill a payer mix that looks different from downstate. Excellus BlueCross BlueShield and MVP Health Care cover a large share of commercial patients, Fidelis Care and other managed-care plans handle much of NY Medicaid, and Monroe County has one of the highest Medicare Advantage rates in the country (82% of Medicare enrollees in 2024, per KFF data reported by Becker’s), so most senior visits are billed to MA plans rather than traditional Medicare. Each has its own authorization rules, fee schedules and appeal steps.
Our team codes every encounter to CPT, ICD-10-CM and HCPCS, checks eligibility before the visit, scrubs claims against payer edits and works every denial until it is paid or closed. Whether you run a solo practice in Pittsford or a multi-provider group in Henrietta, you get one point of contact and monthly reports on collections, denial rate and days in A/R.
Our end-to-end Rochester medical billing services support each stage of the revenue cycle, from eligibility verification and coding to claims, payments, denials, and A/R. Our team helps practices maintain accurate billing workflows and address payment issues promptly.
We verify patient insurance coverage, benefits, and eligibility information carefully and accurately before services are billed. This helps reduce avoidable eligibility-related denials and unexpected claim issues.
Our coding specialists review documentation and assign applicable CPT, HCPCS, and ICD-10-CM codes. Accurate charge entry helps ensure services are correctly represented on claims.
We prepare and submit claims electronically while monitoring their status through the payer process. Our team follows up on pending claims and addresses rejections that may delay reimbursement.
We review denied claims to identify the reason for nonpayment and determine the appropriate next step. Corrected claims, reconsiderations, and appeals are handled based on payer requirements.
We monitor aging A/R and follow up on outstanding insurance balances and unpaid claims. Our team prioritizes accounts based on age, payer status, and potential reimbursement opportunities.
We post insurance and patient payments accurately and reconcile payment information against submitted claims. This helps practices maintain accurate account balances and identify potential discrepancies.

Every specialty has its own codes, modifiers and payer rules. Our coders work by specialty, so your claims are reviewed by someone who knows your procedures and the edits Excellus, MVP, Medicare and NY Medicaid apply to them.
We support 60+ specialties — view all specialties we bill for.
Pricing is quoted per practice. It depends on your specialty, monthly claim volume and whether you need full revenue cycle management or only specific functions such as coding, denial management or A/R follow-up. Most practices start with our free billing audit, and we provide a quote once we have reviewed your claims and A/R.
NY Medicaid claims must be submitted within 90 days of the date of service, with delay-reason codes for allowed exceptions. No-Fault (auto) claims are due within 45 days of the date of service. Workers’ Compensation bills are due within 120 days of the date of service and, since August 1, 2025, must be submitted electronically. Medicare fee-for-service claims are due within 12 months; Medicare Advantage and commercial plans set their own limits in your contracts.
Yes. We check authorization requirements for Excellus BCBS, MVP Health Care, Medicare Advantage and NY Medicaid managed-care plans before the visit, track pending requests, and work any authorization-related denials through the payer’s appeal process.
Yes. Our team works inside the systems Rochester practices already use, including eClinicalWorks, athenahealth, AdvancedMD, Tebra, NextGen, DrChrono and others, and supports EHR/EMR integration so your clinical workflow does not have to change.
We start with a free audit of your current claims and A/R, set up access to your practice management system and clearinghouse, confirm payer enrollment and ERA/EFT details where needed, and take over open A/R follow-up so older claims are not lost during the transition. You keep one point of contact throughout.
Yes. We bill NY Medicaid through eMedNY, verify eligibility through ePACES, and bill Medicaid managed-care plans such as Fidelis Care, as well as Child Health Plus claims for pediatric practices.
You receive monthly reports on collections, denial rate and days in A/R, so you can see how your revenue cycle is performing and where payments are being held up.
MedXpert Services brings experienced billing and coding professionals, specialty knowledge, and dedicated account support to Rochester practices. Our services include transparent reporting, HIPAA-compliant workflows, EHR/EMR integration support, and billing processes aligned with each practice’s needs.
We support independent physicians, specialty practices, and healthcare organizations with personalized billing rather than a one-size-fits-all approach. Our team knows Upstate NY payers, including Excellus BCBS and MVP Health Care prior-authorization rules, and eMedNY billing for NY Medicaid.
Reduce billing workload, address denials, and improve visibility across your Rochester practice’s revenue cycle with professional medical billing support from MedXpert Services. Whether you need complete RCM support or help with specific billing functions, our team can align services with your billing needs.Â
